Privacy Policy

This explains what personal information I collect when you use this website or get in touch, what I do with it, and what your rights are. I have kept it as plain and short as I can.

Who I am

I am Jason Rees, trading as JR Garden Services, based in Watford, Hertfordshire. I am the “data controller”, which just means I decide how and why your information is used. If you have any questions about your information, contact me:

What I collect, and why

Your quote request

Why I use it: To reply to you, give you a quote and check I cover your area. This is your name, phone number, postcode, the service you want, your message and any photos you upload.

Legal basis: Taking steps at your request before we agree a job (UK GDPR Article 6(1)(b)).

Messages you send me

Why I use it: To talk through the job and arrange the work. This covers calls, texts, WhatsApp, Instagram messages and emails.

Legal basis: Taking steps at your request, and then performing our agreement (Article 6(1)(b)).

Booking and job records

Why I use it: To carry out the work, schedule visits, send updates such as confirmations and “on my way” messages, and keep a record of what was done. This includes your name, address or postcode, contact details, dates, prices and notes such as gate codes or pets.

Legal basis: Performing our agreement (Article 6(1)(b)), and my legitimate interest in running my business and handling any questions later (Article 6(1)(f)).

Invoices and payments

Why I use it: To invoice you, record payments and keep my accounts.

Legal basis: A legal obligation to keep tax and accounting records (Article 6(1)(c)).

Your IP address

Why I use it: To block spam and abuse of the quote form. It is stored only in a scrambled (hashed) form and cleared automatically within a few days.

Legal basis: My legitimate interest in keeping the website secure (Article 6(1)(f)).

I do not collect payment card details through this website.

Who I share it with

I do not sell your information and I do not use it for advertising. I use a few trusted services to run the website and my business. They handle your information only to provide that service to me.

Netlify

What it does for me: Hosts this website, receives the quote form, and securely stores my booking records and any photos you upload.

What it can see: What you put in the form, your photos, and your IP address in routine server logs.

Google (Gmail)

What it does for me: Where I receive email, including a copy of quote requests.

What it can see: Your enquiry, if you email me or a copy of your form message is sent to my inbox.

postcodes.io

What it does for me: A free postcode lookup I use to estimate drive times between jobs.

What it can see: Only postcodes. Never your name, phone number or anything else.

WhatsApp and Instagram (Meta)

What it does for me: Where you may message me, and where I may send you updates about your booking.

What it can see: Your messages, which they handle under their own privacy policies.

I may also share information if the law requires it, for example with HMRC.

Where it is stored

Some of these providers are based in, or process information in, countries outside the UK, including the United States. Where that happens I rely on providers that use the safeguards the UK GDPR requires for international transfers.

How long I keep it

Quote requests that do not lead to a job

Deleted after 12 months, together with any photos you sent.

Customer details and job history

For as long as I am working for you, and for up to 3 years after your last job in case you get in touch again or there is a question about the work.

Invoices, payments and accounting records

6 years, which is what I need for my tax records.

Backups

My booking system keeps automatic backups for up to 14 days, so deleted details can remain in a backup for that long.

Copies of quote requests held by Netlify and in my inbox are deleted within the same time limits.

Cookies

This website does not use cookies for tracking, analytics or advertising, and it does not load anything from other companies’ servers. The fonts and images are hosted on this site.

It saves one small item on your device to remember that you have seen the notice at the bottom of the page. This is “local storage” rather than a cookie, and it does not identify you. You can clear it in your browser settings, or use “Cookie settings” at the bottom of any page to see the notice again.

If I ever add anything that uses non-essential cookies, I will update this page and ask you first. Links to WhatsApp or Instagram take you to their sites, which have their own cookies and policies.

Marketing

I do not send marketing messages. If I offer reminders, such as a yearly reminder that your chimney is due for a sweep, I will only send them if you have asked me to.

Keeping it secure

This website uses HTTPS. My booking system is password-protected and access to your information is limited to me. Photos you upload can only be viewed by me.

Your rights

Under UK data protection law you have the right to:

To use any of these rights, just call or email me. I will reply within one month and there is no charge.

Complaints

If you are unhappy with how I have handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk or 0303 123 1113.

Changes to this policy

If I change this policy I will update the date at the top of the page.
